№1. Read and translate.

TEXT A

1.TELEPHONING

If you want to ring somebody up, you pick up the receiver, wait for the dialing tone and then dial your number; if you are not sure of the number, you look it up in the telephone directory (book).

After you have finished dialing, you may hear a series of high-toned blips, which means that the line is engaged (then you hang up or replace the receiver) or you may hear the calling-signal (a series of separate slower blips), which means that the line is free, and you just have to wait until your party answers your call.

If you happen to have no private (home) phone you walk up to the nearest telephone booth (public phone, call phone). You start by dropping a coin (putting a card) into the slot. But for a trunk call (long-distance call) you may make use of the operator. If you are calling from an extension phone, things work a little differently. Instead of waiting for the signal and then dialing your number, you’ll hear the switchboard operator say: “Number, please,” or “Switchboard operator,” or “… Hotel operator” and you simply give the number of your party. The operator will either repeat your number (to make sure she got it right), or just say “Thank you”, and try to put you through.

By the way, in giving your number don’t forget to give it figure by figure (e.g. seven-oh-five-oh – 70-50)

When you have been put through, you may hear a voice, saying “Hello” at the other end, but it’s much more likely that the person answering will either repeat his own phone number, e.g. “Kensington 2209 (speaking)”, or give his name or name of the office in full.

2.TELEPHONE ETIQUETTE

The technique of telephoning is very much the same in all countries. Only remember your good telephone manners:

When talking on the telephone – speak clearly. Do not shout and take your cigarette out of your mouth.

Make sure that your conversation with a busy person is as brief as possible.

When calling a friend who does not recognize your voice – don’t play: “guess who?” Announce yourself promptly.

When you get a wrong number don’t ask: “what number is this?” It is a good manner to ask: “Is this two-three-four-five-six?” If not apologize.

If a wrong number call comes through, don’t lose your temper. Simply say: “Sorry, wrong number”, and hang up. Don’t bang the receiver.

Always identify yourself when making a call, especially if you are calling on business.

If you have a visitor do not carry a long chat where your visitor tries hard to avoid listening to your conversation. The best thing to do is to say you are busy at the moment and … “May I call you back in a little while?” But don’t forget to do so.

8. Finally, remember: if you make the call, you should terminate it yourself. Do not “Drag it out”.

1.TAKING AND LEAVING A MESSAGE.

MAKING EXCUSE

Americans always expect a telephone call if someone is going to be late, absent from work, or not able to keep an appointment. You must always give the reason why you cannot come or why you will be late.

If you have to be late or absent from your job, you must call your employer as early as possible and tell him/her the reason. There are very few acceptable excuses: you are sick, you have a family emergency, or you have transportation problems. If you are going to be late for work, say what time you plan to arrive. If you are going to be absent, tell when you will return to work. You do not have to speak directly to your boss; you can leave the message with the secretary or receptionist.

In social situations also, it is important to arrive on time. If you think you might be more than twenty minutes late, you should call your friend. When it is necessary to cancel a date with a friend, try to suggest another time when you can get together.

2.TELEPHONE MESSAGE

Brenda Stones, the receptionist at Of-Op Ltd is answering a telephone call on the switchboard.

BRENDA: Good morning. Of-Op Ltd.

CALLER: Morning. Can I speak to Tony Goode in the sales department, please?

BRENDA: Can I say who’s calling?

CALLER: Michael Cass of Leighton Electronics.

BRENDA: Hold on one moment, please. (She rings Tony Goode’s extension. There is no answer.) … Hello … Mr. Cass? I’m afraid there is no answer from the sales department. They are probably at lunch. Can I take a message?

CALLER: Yes. Could you ask Mr. Goode to ring me urgently please? It’s about last week’s order. It hasn’t arrived. Mr. Goode said he’d phone me but I haven’t heard from him. We need the order urgently. I’m afraid we’ll go to another firm if I don’t hear from him today.

BRENDA: I’m sure he’ll ring you as soon as he gets back. Has he got your number?

CALLER: Oh-six-three-two (that’s the code from London) seven-nine-one-eight-two-four.

BRENDA: Right. That’s Mr. Micheal Cass of Leighton Electronics. Telephone 0632 791 834.

CALLER: No. Eight-TWO-four.

BRENDA: Sorry. 791 824. Have you got an extension number?

CALLER: No. That’s my personal number.

BRENDA: Right, Mr. Cass. I’ll give him the message as soon as he comes in.

CALLER: Thank you. Goodbye.

This is the message she wrote:

MESSAGE: Mr. Cass called at lunchtime when there was no one in the sales department. He wants you to ring him back urgently about last week’s order which hasn’t arrived. He said he’d go to another firm if you don’t ring today. ____________________________________

Leaving a message on an answer phone

It can be difficult to leave a message on an answer phone! You have to think quickly and speak clearly, and you have to prepare that you’re talking to a person, but, of course you’re talking to a machine!
