Task 1

Read the conversation on making hotel reservation. As you are to report to your colleagues on the results of the telephone call to the hotel, you are asked to sum-up the basic ideas of the dialogue.

Receptionist Hotel Clair Chateaux. May I help you?
Nikolay Hello. I am Nikolay Belskiy from Moscow Engineering University. I would like to discuss reservation and hotel services with a responsible person.
Receptionist My name is Frank, and I am in charge of the reception
Nikolay Will you help me with arranging room booking with your hotel?
Receptionist - I will try to do my best.
Nikolay Well, do you accept credit cards?
Receptionist Yes, all main credit cards and cash.
Nikolay Will you be able to provide twin, double, single rooms in the requested numbers?
Receptionist Yes, but you will need to provide us with particulate information at least a fortnight in advance.
Nikolay Do you mean that we will need to pay in advance?!
Receptionist No, there is no need in that, as they will pay when they check-in. I just wanted to say that you will need to fax or e-mail the list of the guests with room requirements next to each name.
Nikolay We will do that as soon as possible. And another question. Will they be able to exchange money at the front desk?
Receptionist I am afraid not. This service is not available from us.
Nikolay But is there a bank or a FOREX office not far from you?
Receptionist I think so. And our guests will also be able to cash their credit cards through the nearby ATM.
Nikolay Our colleagues are going to work all day long. Will they find eating facilities in your hotel?
Receptionist Yes. We will offer them dining of two types – room service and a lobby restaurant
Nikolay Do you offer discounted rates for the rooms for large groups?
Receptionist Hm. Well the matter is your group is not large enough to qualify for a discount. But anyway you will have a discounted university rate.
Nikolay Will the rooms be ready by 4 p.m. when our colleagues arrive?
Receptionist Yes, they may come any time after noon and before midnight.
Nikolay Would you offer our colleagues locker boxes so that they could leave their suitcases after their check-out. For half of a day, before the train departs?
Receptionist It will be possible, but we charge €5.00 per box.
Nikolay That will suit us. And do I understand that correctly that you are providing a free pick-up to our colleagues at the local train station and are giving them a lift to the hotel?
Receptionist Sure, there is a shuttle bus running four times a day.
Nikolay Thank you for your assistance.
Receptionist Hope your colleagues will enjoy their stay with us.
Nikolay See you.
Receptionist Good bye.

Task 4

Make-up a conversation with the speech patterns from Tasks 1, 3 of this section and other tasks that you have already worked with (see Units 1-3); provide your own details which would meet the requirements of a situation that you will develop according to the role-cards provided below. Ask a groupmate to help you to present the dialogue in class.

International Programme coordinator of a Russian University

You make a phone call to the hotel reception to make hotel reservations for your colleagues. (For details see the case description in Task 1 in section ‘Introducing International Format’.)

Receptionist

You receive a telephone call from a Russian programme coordinator. Your hotel experiences certain economic problems, and any client is a valuable gift. Though you must inform potential guests on the imperfections of your services, you are to present your hotel in the most attractive way, trying to foresee and meet any requirements of the Russian clients.

Letter of Invitation

Letter of Invitation or an official invitation is a document issued by the University hosting an International Conference. This document is sent upon request to a person intending to participate in it and requiring a visa to visit the country of the conference. Letter of Invitation is submitted alongside with other necessary documents to a Consular Department when applying for a visa to prove that the applicant is invited to the conference and he/she will be provided with accommodation and food by the inviting party.

Task 1

PhD. Irina P. Reshetova, a prominent researcher from your University who specializes in engineering pedagogy is planning to take part in an International Conference “Agrarian Perspectives XIX”, which is to take place in Czech University of Life Sciences Prague on September, 15-16, 2010.

A) read a sample Letter of Invitation and determine the information (personal data of Dr Reshetova) necessary to issue a similar one for her.

B) ‘send’ (pass to your language instructor) a letter to the Organizing Committee (personally, to your foreign colleague from Prague, Head of Linguistics Department) with all the necessary information asking to issue the required Invitation Letter for Dr. Reshetova.
