WRITING A BUSINESS LETTER
Objectives:
Students will be able to write and type a formal business letter, using the standard block-style format that is accepted by most businesses.
Students will be able to define and label parts of a formal business letter.
Procedure:
Teachers: discuss with your students the importance of proper, clear communication to a business, and how important it is to follow the formal business letter format.
Hand out the example business letter to students. Go over each part in detail.
Here are some topics to discuss:
Business Letters are a formal way to communicate with a business or companies.
Neatness counts – no errors in spelling or grammar.
Organized in a very specific way following exact format.
“Formal English”, no slang or casual chat.
All parts in the letter are “left justified”, or lined up on the left.

Write a friendly letter
Business Letter Parts
Return address – address of letter writer.
First and last name, address, city, state and zip code.
The date
Inside address – of recipient (who you are writing the letter to)
First and last name, title, company, address, city, state and zip code.
Salutation – If the person is not a friend, write “Dear Mr. Smith”. If the person is a friend, you may say “Dear Sally”.
Body of Letter – this is the purpose of the letter. It should be clear and concise, with more than one paragraph.
Closing – “sincerely”, or “best regards”, “yours truly”, etc…

Dear Frank: (use if the person is a close business contact or friend)

With reference to your advertisement in the Times, your letter of 23 rd March, your phone call today,

Examples:
I am writing to inquire about the position posted in The Daily Mail.
I am writing to confirm the shipment details on order # 2346.
I am writing to apologize for the difficulties you experienced last week at our branch.
Closing Remarks
Thank you for your help.
Please contact us again if we can help you in any way.
Reference to Future Contact
I look forward to...
hearing from you soon.
meeting you next Tuesday.
