The members' motivation decreases when there is a longer gap between the meetings and therefore the job will not get done.

Clear beginning and ending: the meeting has to have a clear time for beginning and ending. You should also tell the members approximately how long the meeting will be. Doing this you prevent a situation where members find the meeting long and time-consuming obligation.

Topics covered: before the meeting write down the topics that you would like to discuss and send those to the members. It would be great if you had an output template. Discuss only relevant topics beginning with the most important one.

Lead the meetings with awareness: meeting should focus on the topics that the team leader wishes to discuss. As meetings might be the only time you and your team meet, consider the first 10 minutes as the warm-up time where you talk about some random topics (everything that doesn´t go with work). Keep in mind that you should also leave some spare time within the meeting because somebody will certainly come up with an external topic.

80/20 rule: there's a principle that team members should talk 80% of the time and you 20%. To achieve this ask open questions (how, why, what do you think etc). It is not possible to answer yes/no to an open question. Ask closed questions (have, do, are etc) only when you need an answer, not an opinion.

 

Result: everymeeting has to have a result (deadlines, decisions etc that are written in the output).

Outputs: should be sent to team voice exactly the day a meeting was. This makes team members remember the meeting and his/her own insight from it (even if not mentioned in the mail). With the help of an outputs it is also easier to monitor the members: is everything done and done on time?
