GLOSSARY
ACCOMMODATION – Provision of places to stay.
A LA CARTE – Dishes cooked to order and priced individually.
AMERICAN BREAKFAST -Consists of a beverage (coffee, tea or milk), juice and it can contain something of the following: grill tomato, sausages, beans, fried eggs, small steak,onions, mushrooms, etc.
AMERICAN PLAN -A rate that includes three meals a day.
ADJOINING ROOMS - Two rooms side by side.
ADVANCE REGISTRATION - Pre-assignment of sleeping rooms.
ADVANCED BILL - The bill which is paid before the check out day when the room charge is already posted in thesystem.
AGENCY - Apart from its broader meanings: (1) the business place of a retail travel agent; (2) an administrative arm of a government as the Federal Aviation Agency.
AMMENDMENT - Changes of dates, room categories, name of the guest; or adding of other services (e.g. limousine, flowers, banquet, etc.).
(TO) ASSIGN ROOMS - In the afternoon to mark some (according to the quantity of arrivals) clean and vacant rooms in the computer. Then the information should be passed to housekeeping and housekeeping makes turn down preparation in these rooms before guests' arrival.

CANCELLATION - The rejection of the previously booked service due to different reasons (e.g. external circumstances, dupe booking, changing of plans, etc.).
COMP - Abbreviation for complimentary; at no charge.
COMPUTER CARD/KEY CARD - Device used as room key.
CONCIERGE - Person providing special services to hotel guests. The concierge may obtain theatre tickets, make transportation reservations, responsible for mail or provide other similar services.
CONFIRMATION - Written acknowledgement of a reservation, service or product to be provided.
CONFIRMED GROUP BOOKING - The point at which a group booking is confirmed by the client to the hotel. This can be done by the clients signing Rooms Allotment Contract, via Sales & Marketing.
CONNECTING ROOMS - Two or more rooms with private doors permitting access from one to the other without use of the hotel corridor.
CONTINENTAL BREAKFAST - At a minimum, a beverage (coffee, tea, or milk) and rolls or toast. Sometimes includes fruit juice.
DAY USE- OR DAY-RATE - A special rate (50%) for non-overnight use of a hotel room. Usually between 8 a.m. and 6 p.m.
DEPARTURE DATE - The day in which an individual or group is due to check-out of a hotel.
DEPOSIT - Amount of money paid to secure a product or service. Usually we take 100% deposit for a room and 50% for services upon check-in if the guest pays cash.
DEPOSIT DATE - A date agreed upon by the hotel and client whereby the client must submit a specified amount of money to the hotel to guarantee all previously agreed upon commitments (1) sleeping rooms, (2) conference rooms, (3) other services.
DEPOSIT RESERVATION - A reservation for which the hotel has received cash payment for at least one night' s lodging in advance and is obliged to hold the room regardless of the guest's arrival. Most hotels do not feel obliged to refund deposit unless reservations are cancelled at least 48 hours in advance. Cancellation policies at hotels vary and should be verified in advance.
DOUBLE - Loosely, any hotel room for two persons; more specifically, a room with a double bed.
DOUBLE BED - Two beds together. Sometimes called twins together.
DOUBLE ROOM RATE - The full price of a room for two people. In our hotel the difference in price between single and double is 60 DM.
DOWNGRADE - To move to a lower accommodation or class of service rather than reserved.
DUPE BOOKING - Reservation for the same person over the same set of dates (usually by mistake).
EARLY DEPARTURE - When the guest is checking out before the departure date the hotel keeps theright to charge 100 % of the room rate if the guest doesn't announce it 24 in advance.
EATING OUT – Having a good meal at a restaurant as a treat.
ENGLISH BREAKFAST - Generally served in the U.K. and Ireland. Usually includes fruit or fruit juice; hot or cold cereal; bacon, ham, sausages or kippers; eggs; toast; butter; jam or marmalade, and tea or coffee.
EUROPEAN PLAN – An accommodation-only rate that includes no meal.
EXTRA BED (ROLL-A-WAY) - Bed that can be installed for extra person occupying the room, for guests in our hotel it costs 60 DM. If the bed is for the child below 12 years old or if it is a baby crib it is free of charge.
FAST FOOD INDUSTRY – Quick-service restaurants that offer limited menus.
FLIP CHART - Large pad on an easel used by a speaker for illustrative purposes.
FULL HOUSE - All hotel sleeping rooms are occupied for a given period of time.
FULL-SERVICE RESTAURANT – A restaurant that cooks to order more than a dozen main-course items.
FUNCTION BOARD - Board or screen which lists the events /meetings/ banquet functions/ locations, etc. for the day. Also called a reader board.
FUNCTION SPACE - Space in a hotel where functions or events take place.
FUNCTION ROOM - The term applied to rooms and public space within a hotel used for meetings and food and beverage functions.
GROUP BOOKING - Reservation made for a bock of rooms. Most hotels consider a reservation for 10 or more rooms to be a group.
GUARANTEED PAYMENT RESERVATION - A hotel reservation secured by the guest's agreement to pay for his room whether he uses it or not. Payment is usually guaranteed by a client himself, a company, travel agent or tour wholesaler by means of fax, credit card number or deposit in cash. We also have 6 pm release reservation, which is in the case when we reserve the room for the guest, but keep it only till 6 pm on the day of arrival. If the guest comes later but doesn't guarantee his booking beforehand the room can be sold to someone else.
HOUSE ACCOUNT - Charge account where all house charges (the ones which are supposed to be paid by hotel) are posted on.
HIRE CAR/CAR RENTAL - Rental automobile with or without driver.
HOSPITALITY INDUSTRY – A current term to refer to a wide range of businesses, dedicated to the service of people away from home.
HOTEL PACKAGE -A typical offering might include transportation and transfers plus room, board and other facilities in the hotel.
INTERRIM BILL - The bill fora long staying guest, whichis paid during his stay in orderto avoid highoutstanding balances and problems with authorizing the credit card upon check out.
JUNIOR SUITE - Large room with a partition separating the bedroom furnishings from the sitting area. In our hotel it consists of two small rooms (the sitting area and sleeping room).
KING-SIZE BED - The big bed at thesize of 2x2 m.
LATE CHECK OUT - When the guest is checking out not around 12 am but later. If the guest is checking out around 6 pm the hotel keeps the right to charge 50% of the room rate; after б pm we can charge the full rate (100 %).
LOST CALL - The telephone call theowner of which can't be defined.
MASTER ACCOUNT - Account to which approved expenses incurred at the hotel can be charged, which normally applies to the group.
MASTER KEY - One key which will open all rooms according to the definition of the key.
NET RATE - A given price for a product/service reduced by the standard commission and any applicable taxes.
NO-SHOW - A guest who has made a reservation but fails to use or to cancel it.
OFF SEASON - Slowest time when hotel occupancy is at its lowest level.
OVERBOOKING - Practice of taking more reservations than accommodations or facilities can handle in the hope that some may cancel, do not show up, etc.
PAID OUT - Form used by the hotel employees to withdraw cash from the cashier for various reasons, e.g. theater tickets, etc.
PEAK SEASON - That time of year at any given destination when tourist traffic (and often rates) is at its highest.
PRE-OPENING - Period of time before opening of a hotel.
PRE-REGISTRATION - Room assignment and the filling out of registration forms prior to a guest's arrival. (For detailed information see "Reservation types").
QUEEN-SIZE BED - The bed which is smaller than king-size, usually 2x1.6 m; also called French bed.
RACK RATE - The official tariff as established and posted by a hotel (full rate).
RECEPTION - Reception together with concierge desk are the main services responsible for the contacts with guests. Upon arrival reception clerk checks the guest in. It also works as an information service. During the whole stay reception takes care about guests, all their needs and problems.
RECREATION – Relaxation and entertainment.
ROOM BLOCK - Specified number of rooms being held for a group or specified room being held for a guest according his request or a room for the VIP guest being held for a specified length of time.
ROOM NIGHTS - Number of rooms blocked or occupied, multiplied by number of nights each room is reserved or occupied. 50 rooms for three nights are 150 room nights.
ROOM RACK – A listing of the current and projected status of all rooms.
SEMINAR - Lecture and dialogue allowing participants to share experiences in a particular field under the guidance of an expert discussion leader.
STUDIO - A hotel room with a couch or couches. In our hotel it is a big room (68 sq m) with Red Square view.
SWITCHBOARD - Also called telephone operators, is responsible for all the incoming telephone calls, receiving messages, faxes and telexes.
TARIFF - Complete listing of services and costs.
TENTATIVE - Not definite or final; to be confirmed.
- tentative group booking - An agreement between the client and the hotel in which the hotel has blocked a specific number of rooms and if necessary, meeting rooms for a proposed group over one or more available series of dates. This is not a binding agreement and no deposit is asked for or required until the group booking is confirmed.
- tentative reservation - Companies or clients make a request for one or several rooms. We give an oral or written offer. The client needs some time to think it over. In order to be sure that we will not sell the rooms by this time we need to put them in the computer. But as the reservation is not definite we mark it as "tentative booking" and keep it for a certain period of time (option). After the expiry of the option we cancel the reservation in the computer or make it guaranteed. In the computer we mark tentative reservation as (3).
TURN AWAY - The guest which was not accepted because of lack of space.
TURN DOWN SERVICE -Amenity provided by hotels in the early evening. Turning down the covers of the bed, removing the spread and drawing the curtains, etc.
TWIN BEDS - Two single separate beds.
UPGRADE - To move to a better accommodation or class of service rather than reserved.
VAT - (Value added tax) - government imposed tax (in Europe) on goods and services refundable under certain conditions.
VIP - An individual who is deemed to be a "Very Important Person" to the hotel and/or corporation for any one of various reasons. VIPs should be given every consideration and, where possible, preferential treatment by the hotel.
VISA - An official authorization appended to a passport permitting travel to and within a particular country or region.
VISA SUPPORT NUMBER - The official hotel number registered in embassies for obtaining visas (our reference number is 139).
WAITING LIST - When the hotel is fully booked we except the request on "waiting list" and afterwards confirm the reservation if we have space available.
WALK-IN - A guest who arrives to the hotel without reservation.
WAKE-UP CALL - Request from guest to be called at a designated time.
