Steven Appelbaum, a management professor at Concordia University who has spent 25 years lecturing, writing and consulting on human-resource issues, thinks workplaces are overloaded with new technology – most notably with e-mail.

In the new global economy e-mail is an effective means of transmitting documents easily and quickly, it is just a tool and can never replace the fine art of communication. People talk to other people, get to know and understand one another, watch the other's body language and listen to the intonation of their voice. Communicating allows you to know if the other person is trying to be humorous or sarcastic, you can stare at each other, eye to eye. Senior business executives and top bankers never cement their deals via e-mail, says Appelbaum, they have lunch at the club.

Communication is a skill that must be learned, and like any skill, it improves with practice. Yet so many of today's lower-level workers are sitting in cubicles and, like Pavlov's dogs, responding to beeps.

Appelbaum says excessive use of e-mail can lead to myriad problems including loneliness, isolation, stress, anger, and anxiety. Loneliness and isolation have long been recognized as potential side effects when people work at home, but you can also be alone in a crowd. At some workplaces, people e-mail their colleagues on the other side of the room rather than get up and walk over. In a recent advertisement for its video-conferencing equipment, Sony Corp. showed a businessman video-conferencing with someone on the floor below.

Much of the stress and anger that email generates is a result of its immediacy. E-mail can reach you any time anywhere, you never stop working. It arrives so fast, that you feel compelled to respond as quickly as possible because other people expect you to. People get angry when you don't respond instantly, Appelbaum says. He likes to tell a story about an MBA student in one of his evening classes. In January, at the beginning of the term, he told the students they would have to submit a paper at the end of February. So for the next few weeks, they were to think about a topic and then submit a one page outline. The class ended at 10:55 p.m. and Applelbaum went home. The next day started with a few meetings, and he didn't get to his e-mail until 3 p.m. When he signed on, he discovered that a student had e-mailed him three times. The first message went out at 1:30 a.m. and she was angry that he had not replied. She wanted to discuss it outline.

There is yet another serious problem with e-mail: language and typing skills vary considerably. Some people don't type well and send brief messages. Some don't have a good command of language, and their mail is difficult to understand, or because of badly chosen words, it conveys the wrong message. If such situations arise, Appelbaum suggests you write back to the person to indicate there is a problem and recommend that the two of you talk on the phone or get together for a chat.

Appelbaum is not alone in his belief that companies might have to rein in new technologies. In a recent newsletter, Drake Beam Morin-Canada, a consulting firm that specializes in human resources, noted that e-mail "has contributed to the depersonalization of the work force", and predicts that more employers will monitor its use closely this year.
