Model of designing a work in our club follows several simple principles.

1. 5W1H principle:
*What? (First part of concept is meant to clearly show the goal of particular event or an operation. Clear image of success and result);
*Why? (Second part of 5W1H is meant to provide clear understanding why particular operation needs to be done, the logic of doing it);
*When? (Third part is meant to establish clear time frames for performing operation and organizing it, and provides with alternatives of time resources)
*Who? (This part is meant to divide responsibilities of multi-operational events, coordinate the workload among the responsible team);
*Where? (Another part of this concept is meant to provide with necessary information about locations of resources and operations);
*How? (Final part is meant to provide executors of event with necessary tools and resources);

2. Alternative Plan principle:
*Any plan or strategy must have at least two alternative algorithms directing to the same goal; (Writing down 3 plans on the meeting)
*Reminding early is crucial for monitoring and high-quality performance of any operation (sending whatsapp messages and emails);

3. Report and Final Analysis principle
*Every event, meeting, operation is registered in hard or electronic form (paper document or a word/excel file);
*Every event is analyzed based on result, for further development (report after each event in a word form)

4. Creativity and Collective Intelligence principle
*Decisions and plans must be discussed by all responsible group members (making decision about financial part of an event is done by all responsible group);
*Creativity even in the most basic operations (always questioning and criticizing every action, searching for better ways of doing the same things);

5. “Better done, than perfect” principle
*Expectations of a results of any event are at minimum rate (if plan A did not work, switch to plan B, if plan B did not work, switch to plan C);

 

Resources (time) required for functioning in club

1. Instructor of Club
*Time: 1 hour 20 minutes (1 hour community, 20 minutes organization team report) + 15 minutes for mails per week;

2. Advisor of Club
*Time: 30~50 minutes per week – students projects and ideas design;

3. President of Club
*Time: 3,5 hours per week + time for communities and association activities;
*Extra time for social activities and seminars;

4. Vice Presidents (Quality Control Committee)
*Time: 2,5 hours per week + time for communities and association activities;
*Extra time for social activities and seminars;

5. Member of Organization Team
*Time: 1,5 hours per week+ time for communities and association activities;
*Extra time for social activities and seminars;

6. Member of Community and Association
*Time: 1 hour per week + time for communities and association activities;
*Extra time for social activities and seminars;

7. Active Club Member (Freshman)
*
20~30 minutes per week for organizational help;
*Extra time for social activities and seminars;

8. Club member (Participant)
*Time for social activities and seminars;

9. Guest of the club (Trialist)
*Time for social activities and seminars;

AWARDS&Disciplinary action

Awards

1. Successful fulfillment of an operation as a part of the event (minimum 70% quality in report)
1st time – public praise on club meeting;
2nd time - getting Super Man/Lady status for one week (badge)
3rd time - bracelet of Global Vision Club;

2. Successful management of an event (whole plan) (minimum 80% quality in report)
1st time – song performed by organization team;
2nd time – free lunch with organization team;
3rd time – t-shirt of Global Vision club;

3. Successful creative work on university level in community or association – free social activity (see “Activities” part);

Disciplinary Action (is taken when club members systematically fail to perform their duties)

1. Refusing to execute one’s duty in succession:
1st time – oral warning, quality control committee (how can I help?);
2nd time – public discussion on the meeting (how can we help?);
3rd time – discussion with president of the club (final decision);

2. Missing meetings in succession:
1st time – oral warning, quality control committee (how can I help?)
2nd time - public discussion on the meeting (how can we help?);
3rd time – discussion with president of the club (final decision);

3. Moral or Ethical disrespect:
1st time – oral warning, quality control committee (how can I help?)
2nd time – public discussion on the meeting (how can we help?)
3rd time – discussion with president of the club (final decision);

Note:
*one disciplinary actions cancels progress of praises;
*payment for awards is made from club’s budget;

FInances and Club fees

1. Instructor of Club
Participation is fully free.
*Membership donation is not paid

2. Advisor of Club
Participation is for full price.
*Membership donation is not paid

3. President of Club
Participation is for full price.
*Membership donation is paid (10).

4. Vice Presidents (Quality Control Commitee)
*Participation is for full price.
*Membership donation is paid (10).

5. Member of Organization Team
*Participation is for full price.
*Membership donation is paid (10).

6. Member of Community and Association
*Participation is for full price (except activities organized by community or association)
*Payment is made upon the request of financial manager.

7. Active Club Member (Freshman)

9. Guest of the club (Trialist)
*First 2 weeks (trial) of the guest is free. That is, club guest can participate in some activities without any payment.
*Participation as a Trialist is limited (20 people maximum).

Note:
*University Club is type of nonprofit organization, which requires documentation of all financial transactions;
*Refund is made only one day (24 hours) before the exact time of an event;

Documentation

1. Every event has an official plan (document) and a report;

2. In order to become a full member of our Club, one must sign a “GVC - Membership contract”.

3. In order to cancel participation in the club, one must submit the “Contract cancellation letter”

Meetings and online COMMUNICATIONS

In vision of GVC, meetings are real models of a “ collective mind ”. Meetings help [who?] to share ideas, organize them, and shape them into a final plan with countable operations and specific results. There are several types of meetings:
*Instructor meetings [Bi-weekly meetings, 20 minutes, in person];
*Advisor meetings [Made upon request, 20~30 minutes, in person];
*Management team meetings [Weekly meetings, 30~40 minutes, in person/online];
*Communities/Associations meetings [Weekly meetings, 60 minutes, in person/online];
*Active club members meetings [Once in a month, 40 minutes, in person/online];
*General club meetings [Once in a month, 50 minutes, in person];

Main concepts of a meeting in GVC:

1. Agenda

*There is an agenda on each meeting (topics to plan and discuss);
*Meeting is finished and started by the leading club member;

2. Operationalization
*Every plan/strategy is made upon observable and measurable operations;

3. Timing
*Every meeting must take as minimum time as possible;
*Every participant of a meeting is given only one minute to talk;

4. Results
*In the end of every meeting results are concluded (either positive or negative) and written down in a report;

Calendar

Approximate number and types of events in GVC is planned in the beginning of an academic year. You can find out the plans of GVC, or plan for a year, month, and week from a management team member.

Seminars

In Global Vision Club, we care about the future of university students. We find and provide opportunities for personal and professional growth. Here is what a student can gain from his/her participation in our club’s activities:
*Certificates and Participation notes;
*Extra points and advantages for some classes, which are related to seminar, conference, research etc.
*Enhance one’s CV;
