UNIT 1

MAKING RESERVATION

Dialogue

John Marshall, sales manager for an oil company, is going to attend a conference in Bahrain. He asks his secretary, Jill Evans, to book his an economy seat on a plane departing in two days’time. Miss Evans knows that her boss prefers a window seat and has to have a special diet. She picks up the telephone and dials the reservations unit of International Airlines.

Miss Evans:Hello, can I speak to Mr. Mullins in your reservations unit? He dealt with my bookings last time.

Mr. Mullins:Good morning, Miss Evans. And where is Mr. Marshalltravelling to this time?

Mr. Evans:He’s going to Bahrain – a much shorter trip.

Mr. Mullins:Yes, it vas Tokyo last tame wasn’ tit? Dideverything go smoothly? Was he pleased with the travel arrangements?

Miss Evans:Yes, thank you, everything was fine. He had a touch of his old fummy trouble, but it soon passed off and the trip was most successful.

Mr. Mullins:Good, I’m glad. So thit time it’s Bahrain? And when does he want to go?

Miss Evans:It’s rathershort notice, I’m afraid. He wants to be there in two days’ time- by Friday night, infact.

Mr. Mullins:That shouldn’t be any problem. We’re not too full at this time of year. Could you wait a moment while I check the computer…? Yes, it’s all right. The XA101 leaves Heathrow at 9.30 in the morning. It’s a nine-hour flight to Bahrain, stopping at Rome, and arriving at Bahrain at 9.30 in the evening, local time.

Miss Evans:That sounds fine.

Mr.Mullins: You think that will suit Mr. Marshall? The flight before that is the previous afternoon, and the one after is the same service on Saturday, but that s already pretty full.

Miss Evans :Oh, no, I n sure the 101 will be just right.

Mr.Mulline:All right I’ll book that. Economy as always?

Miss Evans:Yes, please.

Mr.Mullins: Right, that s one economy class return to Bahrain on the XA101 on Friday. Is the return date known, or should it be open-dated?

Miss Evans:Open-dated, please.

Mr. Mullins: OK. Check-in time is 8.15 at the airport or 7.30 at the town terminal. He’ll need a valid passport with a visa for Bahrain. I suggest you send someone round later today to get that from the consulate. It’s near Belgrave Square.

Miss Evans:Yes, I ll do that.

Mr. Mullins:Then he needs smallpox vaccination, and we also recommend yellow fever inoculation for that past of the world. I imagine with the amount of travelling he does that he s up to date with that sort of thing, though.

Miss Evans: Yes, he’s all right on that. But there is one thing- you mentioned the check-in time. It s rather early in the morning and we will be driving up from the country. If he dent delayed by traffic he might cut it rather fine.

Mr. Mullins:I shouldn’t worry about that; Miss Evans. I ll tell our Passenger Officerat the airport to look out for Mr. Marshall and to take him straight through the formalities to the departure lounge.

Miss Evans:Oh,that will be a great help.

Mr. Mullins:It might also make things easier if Mr. Marshall could let us have all his travel documents sometime tomorrow so that we can process them in advance for him. Then when he arrives he can pick then all up together and go with the Passenger Officer to the airсraft with hardly any hold-up.

Miss Evans:That sounds splendid. I ll arrange to have everything sent over to you tomorrow afternoon, and he can collect his ticket, passport and so on from the Passenger Officer at the airport on Friday morning. Thank you very much for the suggestion.

Mr. Mullins: It’s a pleasure. Perhaps Mr. Marshall might like to send along his chegue for the fare at the same time?

It’s $.256.40 and no extras.

Miss Evans:I’m ahead of you there? Mr. Mullins. I checked the fare in your timetable before I rang you. Yes, $. 256.40.Thechegue will be sent along with the travel documents tomorrow.

Mr. Mullins: Thank you. Now I remember you said that Mr. Marshall had a touch of his old tummy trouble on his last trip. Is he still on the same diet? We have all the details here on his data sheet. Do you wish to change it?

Miss Evans: No, it’s the same as before – just a straightforward vegetarian diet. Oh, and another thing – last time you were able to fix him a window seat and he was very pleased about it. Do you think you can do the same this time? He finds he can get on with his paperwork undisturbed.

Mr. Mullins: I can’t promise definitely that we can do that every time. But I’ll make a note of it and pass the word through, and if it’s at all possible, then he’ll have a window seat.

Miss Evans: Well, thank you very much, Mr. Mullins. That seems to be everything, I think.

Mr. Mullins: Yes, that’s all. But when are we going to have the pleasure of making a reservation for you instead of your boss? It’s about time you travelled, instead of making all the arrangements.

Miss Evans: Oh, It’ll be a long time before I travel. Your fares are too expensive for me. By the way, I nearly forgot that Mrs. Marshall will be going out to meet him in Italy on the way back, and they’ll probably have a few days’ holyday. That’s why he left his return journey open.

Mr. Mullins: I’ll make a note that Mrs. Marshall will probably travel. But so far as your own travel is concerned, our fares are not all that high. We have some marvellous excursion fares, youth fares, and of course inclusive tours, that are real bargains. Could I send you some details?

Miss Evans: You’d be wasting your time, but all the same it would be interesting to have a look. But I really must ring off now. Thank you for your help. Good-bye.

Reading and Comprehension

Making a reservation for a traveler is more than just issuing a ticket. The reservation clerk has to know something of the purpose of the journey so that he can advise his client on the most satisfactory way of arranging his whole itinerary. Most travellers, like Mr. Marshall, have a very tightly organized timetable, or they may want to work on their papers and documents in the aircraft, or they may want hotels booked for them at the end of their journey.

A good reservation clerk can do much to smooth the path of every traveler. In many cases, too, he can show the businessman how to adjust his plans slightly so as to provide time for relaxation – a very necessary ingredient of high – pressure business trip.

Nowadays, a computer shows upon request all the schedules and alternative reuteings for any chosen journey, and also indicates whether the proposed sectors are already fully booked or whether space is still available for more passengers.

Before computers were installed, reservations clerks had to look up each proposed routeing in a bulky manual, check the fares separately and then enquire by telephone, or in some cases by teleprinter, to see if space was available for the prospective traveller.

ARRANGINGAHOLIDAY

Dialogue

 

That evening John Marshall tells his wife, Margaret, about the trip. They decide to meet after the conference for a few days’ holiday in Italy. The next morning he asks Miss Evans to find out what can be arranged, and once again she calls Mr. Mullins…

 

Miss Evans: Good morning, Mr. Mullins. I think we’re going to have a change of plan and some more air travel.

Mr. Mullins: That’s good. Does Mr. Marshall want to extend his journey?

Miss Evans: No, he doesn’t. He wants to stop off at Rome on his way home and he wants Mrs. Marshall to join him there for a few days’ holiday in Italy.

Mr. Mullins: There’s no difficulty there. He can break his journey with no extra charge and fly back to the UK whenever he likes. Do you know the date Mrs. Marshall wants to travel?

Miss Evans: She wants to meet him in Rome next Wednesday.

Mr. Mullins: In that case we must alter Mr. Marshall’s open-dated return ticket to a firm booking Bahrain/Rome on Wednesday and open-dated Rome/London.

Miss Evans: That’s good, they haven’t decided how long they want to spend in Italy.

Mr. Mullins: They won’t need visas for Rome, and I’m sure Mrs. Marshall has had a smallpox vaccination recently?

Miss Evans: Yes, she always keeps her jabs up-to-date.

Mr. Mullins: Good. We’ll book her London to Rome on the XA 105 leaving at 10.30 in the morning, and if we get Mr. Marshall-wait a minute – on the XA 102 from Bahrain on the same day, he’ll arrive in Rome only two hours before her.

Miss Evans: I’m sure that will be suitable. Now, the next thing is that they want a hire-car at the airport and a hotel reservation at San Angelo.

Mr. Mullins: Yes, of course we can arrange that. I see that the Grand Hotel seems to be the best in San Angelo. Shall I book a room with a balcony? And for how long?

Miss Evans: Yes, with a balcony, please. And I think we’d better make a reservation for five days - that takes them over the next weekend. Mr. Marshall likes a big car – I should think a Mersedes will do.

Mr. Mullins: Right. I’ll get Avis to provide the car/ Mr. Marshall has a credit card, I believe, so the question of a deposit for the car won’t arise.

Miss Evans: Well, that all sound splendid. Now you’ll have to tell Mr. Marshall what it’s all going to cost.

Mr. Mullins: Mrs. Marshall’s journey is easy – a tourist excursion fare of 61.10 return.

Miss Evans: Can’t she qualify for any special rates or an inclusive tour?

Mr. Mullins: She’s already getting the excursion rate, which is about 20 below the normal full fare. There are no other special rates, and since they’re paying for their own hotel, that rules out an IT.

Miss Evans: I’d better be tactful and not mention a youth fare.

Mr. Mullins: Now if we’re talking of youth fares, that’s where you could score, Miss Evans. Since you’re eligible for them we could fly you to New York and back for about 80.

Miss Evans: You’re a very good salesman. I’ll wait until I get the inclusive tour booklet you promised me and make up my mind them. That is, if it’s not too expensive.

Mr. Mullins: If it’s money that worries you we have a very good “travel now – pay later” scheme. I’ll send you details of that, too.

Miss Evans: Thank you very much.

Mr. Mullins: But I must really point out to you what excellent value these inclusive tours or package holidays, are. In most cases you can get air travel and the hotel for very little more than the normal full air fare. And you won’t have to travel in a group or on a charter flight. You choose your own date and travel on a scheduled service. The people who arrange these inclusive tours buy blocks of hotel accommodation throughout the whole season and pass the discounts they get by bulk buying on to the customer.

Miss Evans: That sounds marvelous. But in the meantime I must tell Mr. Marshall how mush all his travels are going to cost him.

Mr. Mullins: Yes, of course. He already knows his own fare to Bahrain and back, and Mrs. Marshall’s ticket will cost 61.10.

Miss Evans: Then there’s the car hire and the hotel room.

Mr. Mullins: Yes. I’ll get those figures for you in a moment. But perhaps it would be better if I phoned you back when I’ve got it all sorted out.

Miss Evans: Yes, please do.

Mr. Mullins: It may take me a few minutes, but then I’ll be able to give you all the details and the total cost.

Miss Evans: That would be most helpful. In the meantime I’ll let him know what has been arranged so that he can tell Mrs. Marshall. I’m sure they’ll find it satisfactory.

Mr. Mullins: Right, Miss Evans. I’ll call you back in a few minutes then. Good – bye.

Miss Evans: Good – bye, and thank you for your help.

Reading and comprehension

Experts in the airline industry believe that there are three main reasons why people travel. There are: business, visiting friends and relatives (the so – called “ethnic” market), and holiday.

The businessman, forced to travel at time that suit his business, will pay the full fare. But the holiday and “ethnic” travelers, unlike the businessman, are under no real compulsion to go abroad, so the airlines have to make more attractive offers to persuade these kinds of travelers to buy an airline ticket.

The attractiveness of the offer is usually directly related to the price. The airlines know that the more they can trim the cost of a holiday, the more people will buy it. So, with the help of travel agents, they can arrange bulk travel and accommodation at holiday hotels at very low rates because of the large numbers of bookings they can provide. Then they pass the benefits of these quantity discounts on to the holiday – maker in the form of low – price inclusive tours.

This kind of holiday travel has been so successful that the airlines themselves are helping to finance new hotels. Many of them are already major investors in big international hotel chains. As more hotels become available, airlines can fly more people to fill them.

 

UNIT 3

SENDING CARGO BY AIR

Dialogue

Mr. Marshall is taking a model of oil refinery to the conference in Bahrain. He decides to send it by air freight and has his driver, John Davis, take it down to the airline cargo unit for dispatch, where he talks to cargo clerk Richard West.

Mr. Davis: Good morning. I don’t know if I’ve come to the right place, but I want to send a package to Bahrain.

Mr. West: Yes, sir, you’ve come to the right place. If you give me the details, I ‘ll be able to help you.

Mr. Davis: Well, it’s a scale model of an oil refinery and my chief, Mr.Marshall, of Western oil Company, wants it sent to Bahrain as quickly as possible.

Mr. West: Good. Well now, first of all, has Western Oil given you an IDG form – Instructions for the Despatch of Goods?

Mr. Davis: No, but I’ve been given a letter for you that should have all the instructions and information you’ll need. Here it is.

Mr. West: Splendid. Now let’s see what it says. It’s to be sent to Marshall, care of International Hotel, Bahrain, and will be collected from the airport by Mr. Marshall’s representative.

Mr. Davis: Yes, I understand the local Western Oil representative will pick it up.

Mr. West: Good. Then it says the weight is 21 pounds – that’s 9,5 kilos – and the value for Customs purposes is 4.50. No value declared for carriage. Western Oil will pay all charges at origin and all carriage charges, and finally, they want us to handle the documentation.

Mr. Davis: Is that all you needed to know?

Mr. West: Yes, that’s fine. It gives us all the information we need. Oh, there’s just one more thing though.

Mr. Davis: What’s that?

 

Mr. West: Well, the letter says it’s a model of a refinery. Do you know whether it’s a working model – in other words, are there any actual oils or petroleum products present in the model for demonstration or other purposes?

Mr. Davis: Oh, no. I know this model well. Mr. Marshall takes it all over the place with him. It’s made of papier mache and wood, with some bits of plastic and so on. There’s no actual oil or petrol in it at all.

Mr. West: That’s good. So we shan’t have any problems of classifying it as restricted on safety grounds.

Mr. Davis: No, it’s a perfectly harmless model.`

Mr. West: Right. Now let’s check the weight and size. Where is the consignment?

Mr. Davis: It’s outside in the boot of my car. I’ll bring it in… Here it is, it’s very light for it’s size.

Mr. West: Right. On to the scales with it then… Yes, the weight’s O.K., and now for the dimensions.

Mr. Davis: When you consider how large it is, it’s surprisingly light, isn’t it?

Mr. West: Yes, it is. That means, of course, that the charges will be assessed on the basis of volume, not weight.

Mr. Davis: There are a number of other things that Mr. Marshall wanted me to check with you. First of all, when will it get there?

Mr. West: There’s our Singapore flight leaving this afternoon that arrives at Bahrain during the night, or there is the Far East freighter which leaves early tomorrow. If there isn’t enough room on the first flight, it’ll certainly be carried on the freighter.

Mr. Davis: So our rep could collect it from the Bahrain airport some time tomorrow?

Mr. West: We’d better say the day after, to allow for local Customs clearance, which might hold things up for a few hours.

Mr. Davis: O.K. And then Mr. Marshall asked me to tell you to make sure nothing is stood on top of the model in the aircraft. The flat cover over the top is only thin plastic and could easily be broken.

Mr. West: Yes, we have plenty of experience of handling fragile cargo, and you can be sure we’ll take very good care of it.

Mr. Davis: And then there’s the question of the cost, Western Oil has an account with you. Will you invoice them in the usual way?

Mr. West: Yes, we’ll do that. Do you want me to calculate the cost now?

Mr. Davis: No, Mr. Marshall didn’t ask for that. I think he’ll be quite happy if you invoice the company in due course.

Mr. West: Have you any other queries?

Mr. Davis: No, I don’t think so. What about the consignment note, or whatever you call it – do you want me to sign it or anything?

Mr. West: No, that’s all right, we can make that out in our office here, acting on your behalf as authorized in your letter, and so a signature isn’t necessary. Incidentally, it’s usually called an air waybill nowadays, not a consignment note.

Mr. Davis: Well, that seems to be everything then. I’ll go back and tell Mr. Marshall it’s all O.K. and he can tell our rep in Bahrain when to collect. Many thanks for your help. Goodbye.

Reading and Comprehension

Sending goods by air is a rapidly growing business. Exporters have realized that although it may cost more to send an item by air than by surface transport, the extra cost frequently justifies itself in better service to the customer, less risk of damage or pilfering, and reduced insurance, packing and warehousing charges.

When goods are sent from one country to another, the Customs authorities have to check and inspect consignments in order to stop prohibited goods, and also to assess the duty where appropriate. With the exception of these formalities, the transport of merchandise by air is a simple matter. Cargo agents and airlines cooperate to provide swift collection and delivery services by road from the airports.

Cargo is carried in the cargo holds of passenger aircraft situated under the cabin in which the passengers travel. In recent years, as the business of air cargo has grown, many airlines have put freighter aircraft into operation. These aircraft carry no passengers. They operate to regular schedules, just as passenger aircraft do, and provide a reliable service for the world’s industries.

At one time, air freight was regarded only as a means of shipping a vital part or commodity in an emergency. Now, many businessmen plan their marketing and distribution strategies using air transport as an intrinsic part of the whole operation.

AIRPORT CHECK – IN

Dialogue

Mr. Marshall drives her husband to the airport. He has decided to check in there instead of at the airline’s town terminal, which is much farther from his home. Mrs. Marshall parks the car. She picks up her husband’s cabin bag while Mr. Marshall carries his suitcase. Together they walk over to the airport’s international departures terminal building. They enter through doors that open automatically and glance up at the large clock.

Mrs. Marshall: What time do you have to check in?

Mr. Marshall:8.15..I’m only a few minutes late. Anyway, the flight doesn’t leave until 9.30.

Mrs. Marshall: There are so many airline check – in counters. Where do we have to go?

Mr. Marshall: Over there. See those counters with the International Airlines signs above them?

Mrs. Marshall: Oh, yes. There seems to be a long queue.

Mr. Marshall: Don’t worry. My secretary warned them that I might be a little late.

Mrs. Marshall: Have you got your passport and ticket ready?

Mr. Marshall: Now I told you not to worry. The Passenger Officer has everything laid on. Let’s get on the end of the queue.

Mrs. Marshall: They seem to be getting all these people through very quickly.

 

Mr. Marshall: It’s very different these days from what it used to be. The computerized check – in system has made everything much more efficient. It was needed, of course. It would have been a little difficult using the old manual system in these days of the jumbo jet.

Mrs. Marshall: Yes, I suppose it would. What’s that thing the girl over there is using? It looks like a TV set with a typewriter keyboard.

Mr. Marshall: That’s just about what it is. They call it a CRT set. The initials stand for cathode ray tube. They use the keyboard to question the computer. You’ll see how it works when it’s my turn to check in.

Check – in girl: Good morning, sir. Have you booked for flight XA 101?

Mr. Marshall: Yes, indeed. The Passenger Officer should have all my documents.

Check – in girl: Oh, you must be Mr. Marshall. I was expecting you. Everything’s been taken care of, sir. The Passenger Officer has given me your documents. Would you please put your baggage on the scales.

Mr. Marshall: I should be well within my baggage allowance.

Check – in girl: Yes, it only weighs 15 kilos. Perhaps you would fix these labels to your cabin bag and briefcase while I tie this label tag on to your suitcase.

Mr. Marshall: You have my passport?

Check – in girl: Yes, sir. Here it is. Now let me check your international health certificates. Yes, all your inoculations and vaccinations are up to date. Your visa for Bahrain is also valid. Here you are, sir.

Mr. Marshall: Thank you. Is there any delay to the flight?

Check – in girl: No, everything is on schedule. Take – off is 09.30.

Mr. Marshall: Good.

Check – in girl: I won’t keep you long now, Mr. Marshall. Your ticket is in order. Now I’ll just check with the computer.

Mr. Marshall: Yes, I did request a window seat. I hope I won’t be disappointed.

Check – in girl: Yes, I see the request here. And a vegetarian meal, too.

Mr. Marshall: That’s right.

Check – in girl: It’s all been entered on the computer. I’ll just check the seating plan. Yes, there are several economy window seats available. Would you prefer a seat towards the back of the aircraft?

Mr. Marshall: Yes, please.

Check – in girl: Row 23, seat A. Here’s your boarding card, Mr. Marshall.

Mr. Marshall: Thanks. Where do we put down on the way to Bahrain.

Check – in girl: Only at Rome. You’ll be in transit there for forty – five minutes. It’s really just a technical stop for refueling. You’ll be landing at Bahrain at 21.30 hours local time.

Mr. Marshall: A nine – hour flight in all?

Check – in girl: That’s right, Mr. Marshall. Now if you would make your way to the final departure lounge, they should be making the boarding announcement for your flight in about twenty minutes time. Do have a good flight, sir.

Mr. Marshall: Thank you. As usual, everything has gone very smoothly.

Check – in girl: Thank you, Mr. Marshall.

Mrs. Marshall: That seems a long time to wait.

Mr. Marshall: What does?

Mrs. Marshall: The girl said twenty minutes. We didn’t have to rush to get here after all.

Mr. Marshall: I still have to go through Passport Control and I want to get some things in the duty – free shop. I’ll need those twenty minutes.

Mrs. Marshall: Yes, darling. I do wish I was coming with you now, but I’ll meet your plane at Rome on Wednesday. Take care of yourself.

Mr. Marshall: Yes, I will. Now remember that my secretary has everything arranged for your flight. She’ll telephone you tomorrow. You’ve seen how simple everything is, so don’t worry.

Mrs. Marshall: No, darling, I won’t. Have a good flight. Good – bye.
